The A220 commercial aircraft program is looking for its Executive Assistant (m/f) to join our Engineering team based in Mirabel (Quebec, Canada).
Your challenges:
Manage the Engineering Director's emails to ensure a quick response to requests from internal stakeholders as well as external suppliers; propose answers and/or respond autonomously if necessary
Monitor actions entrusted to their direct team
Organize their schedule by making necessary changes based on daily priorities
Respond to requests for information, plan meetings, prepare necessary documentation and ensure subsequent follow-up actions
Maintain their team's governance calendar and ensure that all deadlines related to group governances are met
Maintain and manage effective budget tracking for their team and validate expense reports
Prepare PR forms and PO requests for the department and subcontractors
Follow up with accounts payable for due payments
Participate in the creation of memos, correct and translate various documents
Prepare travel itineraries and make necessary reservations
Maintain contacts with various direct reports, as well as with senior management members of the company in Canada and Europe
Process expense accounts using appropriate tools (including coordination of expense reimbursement with our service providers)
Create all IT and access requests for new hires; access, badges, IT equipment, etc.
Manage and organize onboarding sessions for new hires
Manage and order office supplies
Offer administrative support to the management team, including: meeting organization, catering service orders, room reservations, etc.
Offer administrative and on-site support for external supplier visits
Organize and supervise Engineering function events
Coordinate communications to the Engineering Community
Perform all other relevant tasks related to their function.
Requirements
Your profile:
You have a minimum of 5 years of relevant experience directly related to administrative support
You have solid knowledge of office tools (Google Suite, SAP);
You have excellent communication skills in French and English (written and spoken)
You demonstrate an ability to plan, organize and prioritize, take initiatives, exercise good judgment, anticipate needs and requirements, and work under time/pressure constraints
You are discreet, you know how to work in a team, you are customer-oriented, you appreciate attention to detail and you have the ability to work within a versatile and multicultural team.
