The A220 commercial aircraft program is looking for its Executive Assistant (m/f) to join our Engineering team based in Mirabel (Quebec, Canada).
Your challenges:
Manage the Engineering Director's emails to ensure a prompt response to requests from internal stakeholders as well as external suppliers; propose responses and/or respond autonomously when appropriate
Monitor actions assigned to your direct team
Organize your agenda by making necessary changes based on daily priorities
Respond to information requests, plan meetings, prepare necessary documentation and ensure follow-up actions
Maintain the governance calendar for your team and ensure that all deadlines related to group governance are met
Maintain and manage effective budget monitoring for your team and validate expense reports
Prepare PR forms and PO requests for the department and subcontractors
Follow up with accounts payable for due payments
Participate in creating memos, correct and translate various documents
Prepare travel itineraries and make necessary reservations
Maintain contact with various direct reports, as well as with members of senior management in Canada and Europe
Handle expense accounts using appropriate tools (including coordinating expense reimbursement with our service providers)
Create all IT and access requests for new hires; access, badges, IT equipment, etc.
Manage and organize onboarding sessions for new hires
Manage and order office supplies
Provide administrative support to the management team, notably; meeting organization, catering orders, room reservations, etc.
Provide administrative and on-site support for external supplier visits
Organize and supervise Engineering function events
Coordinate communications destined for the Engineering Community
Perform any other relevant tasks related to the function.
Your profile:
You have a minimum of 5 years of relevant experience directly related to administrative support
You have solid knowledge of office tools (Google Suite, SAP);
You have excellent communication skills in French and English (written and spoken)
You demonstrate an ability to plan, organize and prioritize, take initiative, exercise good judgment, anticipate needs and requirements as well as work under time constraints/pressure
You show discretion, know how to work in a team, are customer-oriented, appreciate attention to detail and have the ability to work within a versatile and multicultural team.
