The A220 commercial aircraft Programme is looking for a Executive Assistant to join our Public Affairs department.

You will be part of the Public Affairs team responsible for supporting the company's objectives by managing institutional and governmental relations. The team organization is established to promote cross-collaboration autonomously, supporting each other and learning collectively.

Your role as Executive Assistant will be to act as an organizational pillar for management, coordinating transverse activities, ensuring smooth governance, and optimizing the team's administrative processes.

Your challenges:

  • Proactively support the Head of Public Affairs with complex agenda management, autonomous email handling, and daily priority setting;

  • Coordinate the team's transverse operational projects and ensure rigorous follow-up on defined actions with various stakeholders;

  • Provide support for high-visibility strategic events for the Canada Public Affairs department by maintaining smooth and rigorous coordination with our high-level external stakeholders, including dignitaries and senior government officials;

  • Consolidate information and prepare the necessary documentation/presentations for meetings and high-level communications within Airbus Canada and Europe;

  • Maintain the team's governance calendar, coordinate major functional events, and manage communications for the Public Affairs community;

  • Ensure tracking and reporting for federal and provincial lobbying registries;

  • Anticipate needs, identify opportunities to improve internal team processes, and facilitate decision-making;

  • Oversee and consolidate budget management (tracking, invoicing, PR/PO requests, expense reports) for the team and subcontractors;

  • Ensure the logistical and administrative management of the department (IT onboarding for new hires, complex travel arrangements, external supplier visits, supplies).

Your boarding pass:

  • Bachelor’s degree: A three (3) or four (4) years university degree is strongly preferred due to the complexity of topics handled in Public Affairs, Communications / Public Relations, Business Administration / Management; or equivalent experience;

  • Minimum of five (5) years of relevant experience in high-level executive support or departmental coordination;

  • You possess superior verbal and written communication skills in French and English, with the ability to synthesize technical or political issues for senior leadership;

  • Strong proficiency in Google Suite and Microsoft Office Suite and integrated ERP systems (e.g., SAP);

  • Proven ability to plan, prioritize, and coordinate multiple topics simultaneously in a dynamic and demanding environment, with high autonomy;

  • Excellent anticipation skills, proactivity, and the ability to maintain strict confidentiality at all times;

  • Strong team spirit, customer-focused, and highly detail-oriented within a multicultural environment;

  • Language Skills: Advanced level in French and English (written and spoken).

Due to the sector of activity (aerospace), frequent contacts with Airbus entities worldwide, and interactions with suppliers and clients also located across the globe, proficiency in English is required for this position.
