JOB DESCRIPTION

Context/Job Environment:
As a trusted partner to Management, your role is to provide high-level executive and operational support. In a dynamic and rapidly evolving environment, you ensure the smooth coordination of priorities and the effective delivery of team and Management objectives.

Responsibilities

  • Proactively coordinate, plan, and manage complex agendas for Directors, ensuring their time is optimized.
  • Understand the purchasing process (DA) and provide necessary assistance for tracking in the SAP system.
  • Monitor invoicing and receipts, track administrative department expenses for directors.
  • Manage the complete organization of business trips (bookings, itineraries, logistics) and ensure the preparation of expense reports for directors.
  • Ensure good weekly workforce monitoring.
  • Assist the executive assistant in planning and coordinating large events.
  • Account tracking: profile creation for new hires, closures upon departures.
  • Maintain a good knowledge and application of company policies and procedures to provide reliable and consistent support to the team.
  • Manage office supply inventory.
  • Draft internal and external correspondence, in both French and English.
  • Perform any other related tasks as required.

DESIRED PROFILE

  • College diploma (DEC) in administrative techniques, office automation, or any other relevant training.
  • Minimum of five (5) years of experience in a similar role as Executive Assistant.
  • Essential bilingualism (French and English).
  • Advanced proficiency in Google Workspace or MS Office suite.
  • Demonstrated ability to manage directors' agendas and logistics (complex travel, meetings).
  • Strong ability to prioritize tasks, manage urgency and stress, and handle multiple complex files simultaneously.
  • Organized, autonomous, and rigorous, able to work proactively with impeccable attention to detail.
