Job Description

Reporting to the Assistant to the President and Chief Executive Officer, the incumbent provides high-level administrative, organizational, and logistical support to the Office of the President. They contribute to the smooth flow of executive operations, the CEO's influence, and the proper functioning of institutional activities.

Administrative and Organizational Support

  • Manage a portion of the correspondence and invitations from the Office of the President;
  • Ensure the execution and follow-up of certain activities related to the CEO's agenda, according to established priorities and directives;
  • Provide administrative support for the Chief Financial Officer's (CFO) agenda;
  • Prepare, review, and format executive-level documents;
  • Organize business travel;
  • Prepare and process expense reports (CONCUR);
  • Offer administrative support for the CEO's engagements with external boards of directors;
  • Coordinate quarter-end activities, including collection, formatting, printing, and required signatures;
  • Optimize and maintain a structured and efficient filing system for documentation on OneDrive.
  • Provide administrative support to the Finance team (meeting management, agendas, HR follow-ups, timesheets);

Logistics and Office Coordination

  • Ensure the daily logistics of the Office of the President;
  • Prepare, supply, and reset meeting rooms;
  • Welcome external guests and ensure a professional and polished experience.

Communications and Influence

  • Ensure the rigorous application of the CEO's recognition protocol, in collaboration with Internal Communications;
  • Provide administrative support for the preparation of the CEO's quarterly report;
  • Ensure the operational management of the CEO's LinkedIn messaging.

Projects and Initiatives

  • Collaborate with the Office of Strategic Initiatives to ensure the follow-up of key projects and initiatives, ensuring compliance with deadlines and quality of deliverables;
  • In collaboration with the executive assistant, participate in the coordination of philanthropic events and initiatives.

Qualifications

  • College diploma (DEC) in office automation or equivalent relevant training.
  • Minimum of 5 years of experience in executive support, ideally with senior management.
  • Experience in a complex, matrix, or transforming environment.
  • Excellent organizational skills, sense of priorities, and professional judgment.
  • Proactive, rigorous, and solutions-oriented approach.
  • Excellent command of MS Office tools (Word, Excel, Outlook, Teams) and demonstrated ease with collaborative digital tools and AI (e.g., Copilot).
  • Ability to learn quickly and adapt to new technologies.
  • Fluency in spoken and written French and English*.

Additional Information

Office presence (300 Léo-Pariseau), 4 days a week.

1 day of telework per week possible.

*A good command of French is required for positions in Quebec. The incumbent will need to communicate frequently in English, both orally and in writing, with colleagues, clients, or other stakeholders, both in Quebec and internationally.
