Job Description

What are your contributions to the team?

  • Manage the vice-president's and their management team's agenda and travel arrangements.
  • Coordinate daily activities, prioritize incoming information, and plan meetings.
  • Review governance processes and make recommendations for improved efficiency.
  • Plan meetings and prepare all necessary materials.
  • Participate in projects and prepare required presentations.
  • Communicate, on behalf of the vice-president and their leaders, with senior management and various organizations.
  • Prepare and consolidate expense reports and other financial documents.
  • Draft and prepare various types of documents (correspondence, reports, memos, etc.) according to required styles and formats.
  • Update organizational charts.
  • Manage and distribute incoming and outgoing mail.
  • Draft internal and external correspondence in French and English.
  • Be responsible for and actively participate in budget-related activities as well as special projects, social and recognition activities.

Requirements

How to thrive in this role?

  • You hold a college diploma in office automation, administration, or an equivalent field.
  • You have a minimum of ten (10) years of relevant experience.
  • You have excellent communication skills, both oral and written, in French and English.
  • You are highly proficient in MS Office Suite (Word, Excel, PowerPoint) and Outlook.
  • You are recognized for your team spirit, dynamism, strong interpersonal skills, judgment, and organizational skills.
  • You are able to assess and manage business priorities in a dynamic and fast-paced environment.
  • You have experience in project management.
  • You demonstrate a great sense of confidentiality.
  • You enjoy continuously managing multiple mandates.
