What are your contributions to the team?

  • Manage the agenda and organize travel for the vice-president and their management team.
  • Coordinate daily activities, determine priorities related to received information, and schedule meetings.
  • Review governance processes and make recommendations to improve efficiency.
  • Plan meetings and prepare all necessary materials.
  • Participate in projects and prepare required presentations.
  • Communicate, on behalf of the vice-president and their leaders, with senior management and various organizations.
  • Prepare and consolidate expense reports and other financial documents.
  • Draft and prepare various types of documents (correspondence, reports, memos, etc.) according to required styles and formats.
  • Update organizational charts.
  • Manage and distribute incoming and outgoing mail.
  • Draft internal and external correspondence in French and English.
  • Be responsible for budget-related activities as well as special projects, social and recognition activities, and actively participate in them.

How to thrive in this role?

  • You hold a college diploma in office automation, administration, or an equivalent field.
  • You possess a minimum of ten (10) years of relevant experience.
  • You have excellent communication skills, both oral and written, in French and English.
  • You have a strong mastery of the MS Office suite (Word, Excel, PowerPoint) as well as Outlook.
  • You are recognized for your team spirit, dynamism, strong interpersonal skills, judgment, and organizational competencies.
  • You are capable of evaluating and managing business priorities in a dynamic and fast-paced environment.
  • You have project management experience.
  • You demonstrate a strong sense of confidentiality.
  • You enjoy handling multiple ongoing mandates.
