The Administrator - Scheduling - Catering role supports the Catering Scheduling and Catering IT teams in coordinating and optimizing catering systems globally across Air Canada, Air Canada Rouge and Air Canada Express.
This role is essential to ensuring data integrity, system consistency and operational efficiency by maintaining accurate system configurations and enabling the effective flow of data between platforms. The incumbent liaises with Scheduling, Product, Catering and IT teams while contributing to reporting, system improvements and cross-functional initiatives.
The ideal candidate has a highly analytical mindset and attention to detail, strong ability to manage large volumes of data, troubleshoot system issues and adapt quickly in a fast-paced operational environment.
Responsibilities
Catering systems and data management
- Maintain data integrity within the Optimized Meal Orders system and associated catering systems.
- Ensure data accuracy and consistency by coordinating updates among stakeholders and functional teams.
- Facilitate resolution of urgent scheduling-related issues that require flight rebookings, following established procedures.
- Collaborate with Scheduling, Product and Catering teams to define and maintain best practices for system data management.
- Analyze new aircraft types, new routes and new onboard service configurations to ensure appropriate system configuration, coding and specifications.
Reporting and data analytics
- Ensure key reports, including global catering supply reports (TP 6/10) and other system-generated documents, are produced and validated in a timely manner, regularly using the CAE Inflight Service management system.
- Produce reports to support supply chain forecasting, meal order management and aircraft weight and balance requirements, in accordance with safety standards.
- Support development of scalable reporting solutions to improve efficiency and accuracy.
- Identify opportunities to streamline administrative and reporting processes using machine learning, automation suggestions and macros to enhance accuracy and scalability.
Operational support and project coordination
- Contribute to business continuity planning by monitoring and communicating schedule changes that impact catering.
- Coordinate cross-functional initiatives and help resolve system and data inconsistencies among stakeholders.
- Participate in ad hoc projects to improve operational performance and system functionality.
- Proactively identify cost-optimization opportunities, including measures to improve catering efficiency and reduce waste.
Supplier and stakeholder support
- Assist with onboarding and training catering suppliers on the Optimized Meal Orders platform.
- Advise internal and external stakeholders on system processes and report outputs.
- Help resolve day-to-day operational issues raised by catering partners and internal teams.
- Contribute to maintaining strong working relationships with suppliers and cross-functional partners to ensure operational consistency.
Qualifications
- Post-secondary education or certification in operations management, supply chain, logistics or a related discipline.
- Two to three years of relevant experience in airline operations, logistics or a related field.
- Strong analytical skills and ability to interpret complex data sets and translate them into actionable solutions.
- High attention to detail and accuracy when managing large volumes of data.
- Proven ability to manage multiple priorities and deadlines in a fast-paced operational environment.
- Proficiency in Microsoft Excel; experience with automation tools is an asset.
- Strong interpersonal and communication skills, with the ability to collaborate effectively across teams and stakeholders.
- Results-oriented, proactive and adaptable.
- Experience with airline or catering systems is an asset.
- Bilingualism (French and English) is an asset.
- Demonstrated punctuality and reliability to support overall team success in a fast-paced environment.
