This is a full-time position from Monday to Friday with flexible hours, based in Longueuil, and performed exclusively on-site.

What will your day-to-day look like?

  • Manage and maintain agenda and calendar.
  • Organize meetings and events.
  • Manage calendar conflicts in a proactive and timely manner.
  • Maintain and coordinate support teams agendas (~5 Managers).
  • Work closely with executives to keep them well informed of upcoming commitments, events and responsibilities.
  • Organize and coordinate logistics for required Engineering events (Corporate/Head Office reviews, Major customer meetings, Executive offsites) in Plant 1 on behalf of the Engineering Executive Team when requested.
  • Develop tools and reporting documents to support executive objectives using Microsoft Excel, Word, Visio and PowerPoint as prime tools.
  • Manage travel arrangements for a team of 5 managers and 2 executives.
  • Prepare travel itineraries and make hotel and transportation reservations.
  • Prepare and follow up on expense reports.
  • Identify location-specific particularities (culture, safety, rules, etc.).
  • Manage customer visits including agenda, location, catering, communications and logistics associated with the visit agenda.
  • Coordinate meetings/conference calls and prepare related documents.
  • Take notes of action plans during meetings and ensure follow-up.
  • Design and produce financial and organizational documents, reports and presentations.
  • Draft correspondence and perform translations, if required.
  • Create and maintain executive dashboards and scorecards.
  • Serve as the primary point of contact and liaison for internal and external contacts.
  • Provide a "gatekeeper" and "gateway" role to ensure smooth communication between executives, direct reports and colleagues.
  • Work in close collaboration with other Administrative Assistants to share workload and support the organization of specific activities.
  • Maintain and organize files and filing systems.
  • Ensure the transmission of action plans and/or information to the appropriate delegates.
  • Coordinate projects, follow-ups and archiving activities; proactive planning around filing and areas requiring follow-up.
  • Support timely filing of key customer correspondence.
  • Support individual contributors in the team with various tasks, including: completing ENOVIA Engineering, Change Order requests on behalf of Program teams.
  • Managing paperwork required for sponsor visits.

What do you need to be successful?

  • College degree with a minimum of 5 years of experience.
  • Experience in large companies (mandatory).
  • Excellent verbal and written communication skills.
  • Adaptability and flexibility.
  • Good organizational skills and initiative.
  • Attention to detail, proactiveness and a high degree of focus on quality in execution.
  • Teamwork and willingness to learn new skills.
  • Trustworthy and able to manage confidential portfolios.
  • High level of knowledge of Microsoft Office products including Excel, Word, Visio and PowerPoint.
  • Knowledge of Power BI and advanced Excel functions or other data analytics tools is highly preferred.
  • Advanced Excel functions, Power BI, MS Project and ENOVIA PLM would be considered important additional assets.
  • Field of studies: Administration, International Administration, Administration/Commerce, Linguistics, Industrial Relations, Public Relations, Human Resources, Secretarial Studies, Translation, or other related fields.
  • This position is part of a French-speaking work environment; it requires a very good knowledge of English to read and understand, on a daily basis, documentation and technical terms that may emanate from international organizations, as well as to write and communicate in English with customers, suppliers or international colleagues.
