SUMMARY OF RESPONSIBILITIES:

  • Assist maintenance managers (supervisor, coordinator, planner, quality assurance) with assigned administrative functions;
  • Provide administrative support: organize meetings, write minutes, manage travel, prepare daily/weekly/monthly documents and reports, verify expense reports, process agency invoices, maintain employee database, etc.;
  • Be responsible for organizing and securely maintaining all aircraft technical records;
  • Audit and digitize completed work records, reporting any errors or omissions to the record manager for correction;
  • Update completed maintenance records in the digital tracking system, and transcribe work into aircraft technical logs: engine, APU, modification/repair logs, and component records;
  • Provide clarifications regarding technical record requests;
  • Manage and maintain technical archives in accordance with regulatory requirements;
  • Print heavy maintenance records as needed;
  • Ensure timely delivery of work records to production;
  • Enter data related to production documentation;
  • Submit appropriate onboarding documents for new employees and contractors, including IT requests and Skytrack configuration (new users, department changes, skill modifications, etc.);
  • Order office supplies and uniforms;
  • Update and maintain department employee records;
  • Coordinate internal or off-site training if necessary: travel, bookings, preparation of documents and training contracts, etc.;
  • Act as a backup for the SMS / Training / Health and Safety group;
  • Complete employee schedules;
  • Receive, review, and approve timesheets, then forward them to payroll;
  • Enter employee work hours as needed and verify contractor hours;
  • Monitor team schedules and hour verification in SkyTrack, ensuring accuracy;
  • Review employee hours on the supervisor’s SkyTrack work screen daily/weekly;
  • Ensure regular updates of Shift Master data tables in Skytrack;
  • Perform any other related tasks as needed.

REQUIRED QUALIFICATIONS AND SKILLS:

  • Post-secondary education in a relevant field;
  • Minimum of three (3) years administrative experience in a computerized environment;
  • Experience managing technical records with good knowledge of general aviation (asset);
  • Experience with CAMP and Quantum Component Control systems (asset);
  • Strong awareness of maintenance requirements' impact on clients and aircraft airworthiness;
  • Proficiency with Microsoft Office tools (Word and Excel);
  • Excellent communication skills and great flexibility;
  • Highly detail-oriented, innovative, and process improvement focused;
  • Ability to work under pressure and demonstrate excellent organization;
  • Ability to verify accuracy and completeness of own work;
  • Ability to manage multiple tasks simultaneously in a dynamic environment;
  • Experience in aviation billing, manufacturing, or other related environments (asset).
