We are looking for a reliable, curious, collaborative analyst who enjoys solving practical problems, takes pride in their work, and has an eagerness to learn. No need to be an expert in every tool or licensing model on day one. To succeed in this role, the person must follow up regularly, have good judgment, be open to feedback, and wish to develop.
The position can be based in Montreal or Toronto.
Responsibilities:
- Perform daily software asset management and application lifecycle activities by handling assigned requests, incidents, tasks, controls, and execution activities according to established service levels and procedures.
- Maintain the single authoritative application inventory by comparing discovery, installation, deployment, ownership, service relationship, and lifecycle data from Flexera, Intune, IT self-service portal configuration management database, vendor sources, and approved records so that all endpoints, servers, and SaaS applications have a reliable and accurate source of truth.
- Identify, record, and periodically certify an assigned owner and designated technical owner for each in-scope application. Follow up on missing or outdated responsibilities and escalate unresolved gaps so that there is always a lifecycle and remediation decision-maker.
- Execute application lifecycle step-by-step workflows from intake to retirement: request and classification, responsibility and approval confirmation, standardization and registration, usage and support state monitoring, security measure coordination, retirement, and evidence recovery and archiving.
- Classify and maintain required application metadata, notably criticality, operational function, lifecycle stage, support model, installed version, vendor support state, end-of-support and end-of-life dates, technology dependencies, service relationships, data classification, cost center, and ownership.
- Monitor installed versions, vendor support status, end-of-support, end-of-life, and out-of-policy conditions; issue proactive alerts and initiate upgrade, replacement, exception, or retirement work prior to support expiration.
- Map cybersecurity analysis findings, common vulnerabilities, and exposures of relevant applications and owners, apply the approved criticality level and service level agreement for rectifications, track progress, escalate overdue measures, and maintain status and closure evidence.
- Coordinate with application owners, Cybersecurity, and endpoint operations regarding packages, patches, upgrades, replacements, compensating controls, exceptions, and approved retirement actions. Verify closure by consulting deployment status, owner certification, or re-scan results while ensuring delivery accountability by owning teams.
- Ensure the execution and analysis of software asset management, including license availability checks, allocations, claims, reallocations, revocations, installation entitlement reconciliation, effective maintenance of license positions, usage reviews, and renewal data preparation.
- Translate application lifecycle events into clear handoffs to software asset management for license recovery, renewal, or purchase, and integrate contract dates, access rights, and software asset management vendor signals into lifecycle tracking.
- Produce operational reports on inventory quality, responsibility coverage, application currency, unsupported software, vulnerability remediation against approved service level agreements, lifecycle exceptions, license position, usage, cost savings, ticket volume, and product backlog.
- Support application portfolio reviews by identifying streamlining candidates, duplicate or unused applications, end-of-support risks, unsupported versions, unassigned responsibilities, overdue rectifications, and recurring control failures.
- Maintain and audit-ready records, approvals, exceptions, attestations, work instructions, knowledge base articles, and evidence repositories in accordance with governance and record retention requirements.
- Determine and implement approved improvements for data validation, alerts, workflows, automation, self-service, reporting, and reduction of recurring errors while respecting position boundaries: the analyst does not assemble or deploy software, perform vulnerability analysis, negotiate contracts, or hold responsibility for application development and operations.
Qualifications
- At least two years of experience in software asset management, IT assets, applications or services, IT operations or data, or a related role. Equivalent transferable experience and a demonstrated ability to learn will be considered.
- Experience or demonstrated ability to learn to use a software asset management, identity and access management, or IT services platform, such as IT self-service portal professional software asset management, Flexera, or an equivalent tool. Experience managing queues, record-keeping, workflow execution, and reporting is an asset.
- Practical knowledge of software licensing concepts and models, notably perpetual licenses, subscriptions, named users, devices, concurrent, processors, core-based or consumption-based applications, and software-as-a-service.
- Experience in interpreting agreements, purchase and use logs, entitlements, usage rights, discovery data, and deployment data to support reconciliation, compliance, optimization, and renewal preparation.
- Strong data and spreadsheet analysis skills; experience with reporting or visualization tools, notably SQL, Power Query, scripting, or workflow automation, is an asset.
- Knowledge of application lifecycle, configuration management, IT Infrastructure Library, and IT Service Management (ITSM) principles, data governance, and software asset management standards is an asset.
- Relevant certifications, such as ITIL Foundation or IAITAM Certified Software Asset Manager or IT Asset Manager, is an asset.
