Job description

  • Manage calendars and emails by prioritizing requests, gathering the necessary information to support the manager's and/or team's decision‑making, and performing required administrative tasks.
  • Identify and anticipate needs where possible. Organize and coordinate meetings, collaborate with other administrative assistants across teams and functions, prepare and follow up on meeting minutes (communications, action items), keep distribution lists up to date, and coordinate logistics for events, webinars and other activities.
  • Manage the flow of internal and external communications within the team. Foster positive working relationships and act as a facilitator between team members and stakeholders.
  • Perform office administrative tasks, including phone support, coordinating meetings and events, HR‑related administrative duties, expense report management, serving as a point of contact for IT and facilities, supporting event and webinar organization, and coordinating team logistics (office supplies, travel arrangements, etc.).
  • Promote initiatives to reduce the organization's environmental footprint, including limiting printing, reducing plastic use, and decreasing waste generation.

Your profile

  • You hold a college diploma in office administration, administration, or an equivalent field.
  • You have a minimum of 3 to 5 years of relevant experience.
  • You have excellent communication skills, both oral and written, in French and English.
  • You are proficient with MS Office (Word, Excel, PowerPoint) and Outlook.
  • You are recognized for teamwork, enthusiasm, strong interpersonal skills, good judgment and organizational abilities.
  • You can assess and manage business priorities in a dynamic, fast‑paced environment.
  • You have project management experience.
  • You demonstrate a strong sense of confidentiality.
  • You enjoy managing multiple ongoing assignments.
