Job description

  • Manage agendas and emails by prioritizing requests, collecting necessary information to support manager and/or team decision-making, and performing required administrative tasks.
  • Identify and anticipate needs as much as possible. Organize and coordinate meetings, collaborate with other administrative assistants from different teams and functions, prepare and follow up on meeting minutes (communications, actions to be taken), keep distribution lists up to date, and coordinate logistics for events, webinars, and other activities.
  • Manage the flow of internal and external communications within the team. Foster positive working relationships and act as a facilitator between team members and stakeholders.
  • Perform administrative office tasks, including phone support, meeting and event coordination, human resources-related administrative tasks, expense report management, acting as a resource person for information technology (IT) and general services, support for organizing events and webinars, and coordinating team logistics (office supplies, travel management, etc.).
  • Promote initiatives aimed at reducing the organization's environmental footprint, notably by limiting printing, reducing plastic use, and decreasing waste production.

Your profile:

  • You hold a college diploma in office automation, administration, or an equivalent field.
  • You have a minimum of 3 to 5 years of relevant experience.
  • You have excellent communication skills, both oral and written, in French and English.
  • You master the MS Office suite (Word, Excel, PowerPoint) as well as Outlook.
  • You are recognized for your team spirit, dynamism, strong interpersonal skills, judgment, and organizational skills.
  • You are able to assess and manage business priorities in a dynamic and fast-paced environment.
  • You have experience in project management.
  • You demonstrate a strong sense of confidentiality.
  • You enjoy managing multiple mandates continuously.
