Job description

In collaboration with the Supervisor, Air Operations Administration, the person in this role provides essential support to the team by combining administrative and operational responsibilities. They act as a point of contact for employees and actively contribute to file management and logistical activities, notably related to uniforms and supplies.

Responsibilities

  • Manage the Air Operations email inbox and respond to general employee inquiries;
  • Ensure employee files are up to date and compliant (document validity, follow-ups, archiving);
  • Support hiring and departure processes (creation, closing and follow-up of files);
  • Produce various administrative communications (letters, confirmations, internal documents);
  • Create purchase requests (SAP) and ensure invoice processing;
  • Manage uniforms via the online platform (orders, follow-ups, distribution);
  • Maintain inventory and ensure receipt, storage and distribution of items (uniforms and other supplies);
  • Work closely with the administrative team and contribute to other related tasks.

Qualifications

  • Vocational diploma (DEP) in office administration or related field (asset);
  • 1 to 2 years of experience in an administrative, logistics or customer service role;
  • Excellent interpersonal skills, service orientation and ability to interact with a large internal client base (+600 employees);
  • Good organization, rigor and ability to manage multiple priorities simultaneously;
  • Versatility and ease combining administrative and physical tasks (inventory management, handling items);
  • Attention to detail and strong file follow-up skills;
  • Excellent command of MS Office tools (Word, Excel, Outlook, Teams) and demonstrated ease with collaborative digital tools and AI (e.g., Copilot);
  • Ability to learn quickly and adapt to new technologies;
  • Oral and written proficiency in French and English. A strong command of French is required for positions in Quebec. The person in this role will frequently communicate in English, orally and in writing, with colleagues, clients and other stakeholders both in Quebec and internationally.
