Human Resources Coordinator

About the Role

We're looking for an enthusiastic, organized, and people-focused Human Resources Coordinator to join our growing team. This is an exciting opportunity for someone who enjoys variety and wants to gain exposure to all aspects of Human Resources supporting a global company. As our HR Coordinator, you'll play a key role in supporting employees throughout their entire lifecycle from recruitment and onboarding to employee relations, HR administration, and special projects. No two days are the same, making this an ideal role for someone who thrives in a fast-paced environment and enjoys balancing people, processes, and problem-solving.

This role also has a strong newcomer and relocation focus, you'll be a welcoming point of contact for employees arriving in Canada.

What You'll Do

Talent Acquisition

  • Coordinate the full recruitment process from job posting to offer stage.
  • Source and screen candidates through various recruitment platforms.
  • Schedule interviews and maintain communication with candidates.
  • Partner with hiring managers to understand hiring needs.
  • Prepare employment offers and onboarding documentation.

Employee Experience & Newcomer Support

  • Serve as a first point of contact for employee HR inquiries.
  • Support employees with questions regarding company policies, benefits, payroll, leave, and HR programs.
  • Assist with employee onboarding and offboarding.
  • Meet directly with newcomers arriving in Calgary to welcome them, orient them to the company and city, and ensure a smooth transition into their new role.
  • Support employees going through immigration-related onboarding (e.g., work permits, LMIA-related documentation, relocation logistics), coordinating with legal/immigration team as needed.
  • Help organize employee engagement initiatives, recognition programs, and company events.

HR Administration

  • Maintain accurate employee records and HRIS data.
  • Prepare employment letters and other HR documentation.
  • Support benefits administration and employee data changes.
  • Ensure HR files remain accurate, confidential, and compliant.

Compliance & HR Operations

  • Assist with policy administration and employment law compliance.
  • Support workplace investigations and employee relations matters when required.
  • Maintain HR reports, metrics, and organizational data.
  • Help ensure company policies and procedures are consistently applied.

HR Projects

  • Participate in HR initiatives and continuous improvement projects.
  • Support implementation of new HR programs and processes.
  • Assist with performance management, training, and development initiatives.
  • Help improve employee communications and HR resources.
  • Contribute ideas that enhance employee experience and operational efficiency.

What We're Looking For

  • Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field is an asset.
  • 2-4 years of experience in Human Resources.
  • Experience in the aviation industry is an asset.
  • Experience with immigration-related onboarding processes (e.g., work permits, LMIA, foreign worker relocation) is an asset.
  • Fluent in Spanish is an asset.
  • Experience supporting recruitment and HR administration.
  • Strong attention to detail and ability to prioritize multiple tasks.
  • Positive attitude with a customer-service mindset.
  • Ability to work independently while collaborating effectively with a team.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
