As a Flight Coordinator, you will play a central role within our team and work closely with crew members and account managers to ensure careful planning and execution of flights across our fleet. From handling the initial request to route planning, ground services coordination and compliance with regulatory requirements (airport restrictions and permits, air traffic control, customs), you will perform essential tasks that optimize efficiency, enhance aviation safety and deliver exceptional customer experiences.
Key responsibilities
- Bilingualism in French and English is required.
- Provide comprehensive support to crew members and client account managers throughout the flight management process, from pre‑flight preparations to post‑flight tasks, including in‑flight support.
- Ensure proper completion of client routes and connections, taking into account crew duty and rest time requirements as set out in Standard Operating Procedures (SOPs) and the Canadian Aviation Regulations (CARs).
- Manage planning and notification of customs formalities — pre‑alert customs and immigration for confirmed flight assignments.
- Obtain landing and overflight permissions from foreign governments for international flights and confirm operational requirements.
- Participate in integrating operational changes into flight schedules, including reviewing pre‑arrangements and sourcing an appropriate replacement aircraft in collaboration with crew, maintenance and account managers.
- Monitor airport and weather conditions, as well as airspace and air traffic control restrictions, and provide relevant information to crew and account managers.
- Assess risks for new or high‑risk destinations with support from the management team and crew members.
- Support charter sales by contributing to quote preparation and route planning, and by identifying efficient and safe routings.
- Validate aircraft and crew location and confirm the status of the minimum equipment list.
- Monitor flight progress and provide operational information as required.
- Handle post‑flight tasks such as reviewing and updating flight log data, conducting post‑flight debriefs, and assisting account managers with client profile updates.
Skills / Qualifications
- Bachelor's degree or college diploma in aviation management or business administration, or equivalent experience.
- Excellent customer service and communication skills.
- Business aviation experience is an asset.
- Theoretical and practical knowledge of the Canadian Aviation Regulations (CARs), and familiarity with FAA (United States) and EASA (Europe) requirements is an asset.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Initiative, good decision‑making skills and the ability to perform in a fast‑paced, high‑pressure environment while meeting tight deadlines.
- Strong adaptability and ability to work under pressure.
- Team spirit, excellent organizational skills and multitasking ability.
