Main responsibilities

  • Manage office supplies, medical kits, time cards, and business cards, among other items.
  • Support onboarding and internal transfers, and keep employee status changes up to date (new hires, transfer to another base, etc.).
  • Coordinate service anniversaries, team meetings, and employee celebrations, including catering orders, service decorations, and celebration cards.
  • Keep staff schedules and anomalies up to date, including requests for overtime volunteers, leave requests, and annual leave schedules.
  • Prepare daily, weekly, and quarterly reports.
  • Supervise office equipment (hardware, software, and general office equipment), notably through the creation and tracking of IT and Real Estate support tickets.
  • Liaise with internal and external clients, ensure confidentiality, and independently organize and prioritize workload to meet deadlines with minimum supervision.
  • Provide internal and external clients with access to systems and buildings.
  • Participate in daily administrative tasks (audits, scans, mailings, etc.).
  • Generate and supervise key performance indicators.

Qualifications

  • High school diploma.
  • At least one to three years of experience in an administrative, office, or secretarial role.
  • Proficiency in Microsoft Office applications.
  • Mastery of spelling, punctuation, and grammar.
  • Good interpersonal skills.
  • Excellent written and verbal communication skills, as well as formatting and proofreading abilities.
  • Accuracy and thoroughness.
  • Proven punctuality and reliability to promote the overall success of the team in a fast-paced environment.
  • The incumbent of this position may be required to write minutes and perform physical tasks such as lifting or climbing.
  • Experience in process improvement is an asset.
