Job summary
Reporting to the FLX Business Line and integrated within the PMO organization, the PMO Montreal supports and drives project support across Canada and provides direct operational support to various strategic bids and projects managed by Thales in Montreal. The role is key in structuring, coordinating and tracking project activities, managing funding, and maintaining budget, schedule and performance dashboards. The incumbent is fully involved in structuring new projects launched in Canada and ensures deliverable performance, budget consistency and compliance with deadlines and reporting obligations in a multi‑partner international context.
The PMO Montreal reports to the PMO FLX manager and interfaces with Finance teams, Engineering Canada departments, project managers, and project partners and stakeholders.
The role covers a complex, multi‑project scope with frequent interactions between Montreal teams, the central France management, major industry OEMs and Canadian funding agencies. Projects monitored include strong compliance and justification requirements toward public partners and competitiveness and innovation challenges for structuring tender responses important to Thales Canada’s growth.
Key responsibilities
Support to bids & projects
- Provide expertise and know‑how to improve performance across the offer/project lifecycle through harmonized services.
- Ensure validity of offer and project data, including oversight.
- Collect offer/project information and consolidate it into dashboards for monthly reviews.
- Participate in bid preparation.
- Support the setup of new project activities in Canada and act as backup for project management tools administration (Primavera, Deviprop, etc.).
- Track internal purchase orders (PO IGTR), ensure signature validation and billing follow‑up with Finance.
- Improve and maintain fundamental offer and project management practices: ensure continuity between offers and projects, maintain milestone rhythms, challenge and keep planning and quality of reference deliverables, centralize and share know‑how, collect feedback and manage lessons learned.
Specific support for R&T Canada projects
- Provide operational support for extracting and justifying claimable expenses.
- Coordinate collection and validation of supporting documents with Engineering department leads and the R&T Canada manager.
- Assist with budget management, claims and follow‑up of government payments.
- Maintain and update R&T tracking dashboards (quarterly reviews).
Cross‑portfolio tracking and control
- Maintain and update schedules (Primavera, MS Project, Timeline Pro).
- Track milestones and completeness of reports.
- Gather and consolidate portfolio key performance indicators (KPI, EVM...).
- Organize lessons learned sessions and coordinate follow‑up actions.
- Implement and track the non‑technical requirements matrix to ensure client compliance.
- Align S&OP workload needs with resources across offers/projects.
The role directly impacts project performance within its scope (budget control, milestone adherence, deliverable quality), contributes to securing public funding, optimizes reporting for local and group management and supports the structuring and maturity growth of the project organization in Montreal.
Working closely with Finance, project managers, Engineering leads and other PMO FLX colleagues, the incumbent demonstrates leadership in enforcing and tracking procedures and project indicators. The role also manages relationships with external funding bodies and industrial clients in a confidential and demanding environment.
The position requires adaptability, rigor and proactivity to continuously improve steering tools, reporting and KPI tracking, and to meet diverse client/government requirements. Anticipating needs, structuring information and proposing new analysis axes to increase project efficiency are essential.
Minimum requirements
- Bachelor's degree or equivalent in project management or technical field.
- Proven experience (minimum 3 to 7 years) as PMO or in managing complex projects, ideally in industry (aerospace, defense, tech) and in an international environment.
- Strong proficiency in budget management, planning tools and project reporting (Primavera, MS Project, advanced Excel).
- Experience with public funding / R&T projects.
- Ability to coordinate multidisciplinary teams, strong interpersonal skills and diplomacy.
- Organized, responsive and able to work cross‑functionally.
- Project planning tools: MS Project and Primavera P6 Pro.
- Excel proficiency; VBA/macro skills are an asset.
- Quotation tool: Deviprop.
- Fluent French and English required (written and spoken).
This role requires good English skills for drafting technical documents and interacting with or providing services to international clients, employees, partners and foreign government authorities that do not speak French.
Preferred qualifications
- Experience in an international context; knowledge of Thales and the aircraft OEM ecosystem is appreciated.
- IPMA or PMP certification is an asset.
