Regulatory Compliance Requirements

- Requires a positive Controlled Goods assessment as personnel will have direct access to hardware, software, technology or technical data controlled under the Canadian Controlled Goods Program.
- Required to obtain and maintain a Security Clearance at the NATO Secret Level.
Position Summary
The Receptionist will provide a range of administrative services for events in a large collaboration space, including catering coordination, boardroom scheduling and visitor management. The role interfaces with various levels across the organization and with external customers and requires excellent communication skills.
The Receptionist will also provide reception coverage: greet visitors, configure and distribute security badges, and ensure employees and visitors enter the building in accordance with security requirements.
Key Areas of Responsibility
- Greet visitors, confirm valid photo identification, sign the visitor log, distribute appropriate security badges, and announce visitors to the host individual or department.
- Coordinate, track, validate and monitor visitor access through the Visit Management System.
- Distribute incoming mail.
- Follow company policies and maintain electronic filing systems including logging, retention and disposal.
- Work with internal and external tools such as JIRA and SharePoint to manage activities.
- Work closely with the Security Team to ensure the highest standard of security compliance.
- Support on-site events, meetings, training and team-building by booking meeting spaces, coordinating catering orders, facilitating payment and tracking details.
- Manage competing priorities while supporting several initiatives.
Minimum Qualifications
- Prior customer service experience and/or experience in a similar role.
- Strong organizational skills and ability to balance multiple priorities.
- Attention to detail.
- Interest in working in a fast-paced environment with opportunities for growth.
- Ability to work independently.
- Strong communication and interpersonal skills.
Preferred Qualifications
- Bilingual English and French.
Special Position Requirements
Schedule: 8 AM–5 PM, Monday through Friday.
Compensation
The reference Total Target Compensation (TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is Total Target Cash (TTC) $40,000 - $45,000 CAD Annual.
This range is provided as a general market reference. Placement within the range depends on factors such as the employee's career history, competencies, skills and performance, annual salary budget, customer program requirements, and internal equity. Thales may offer additional benefits or compensation depending on circumstances not related to an applicant's protected status.
