The Representative - Support - Benefits and Compliance will be responsible for the prompt and accurate processing of third-party requests related to employment records of employees, retirees and former employees of Air Canada, benefit reports as well as employee document management.

Responsibilities:

  • Responsible for the daily management of third-party requests regarding employee information (third-party applicants mainly include, but are not limited to, government agencies such as the Canada Revenue Agency (CRA), Revenu Quebec, Service Canada, CPP and QPP, as well as law firms and financial institutions).
  • Liaise with various internal stakeholders to obtain and/or verify employee information, such as payroll records, absence reports, job descriptions, personal information, personal file copies, as well as general pension and benefits information, while ensuring compliance with the guidelines of the Personal Information Protection and Electronic Documents Act (PIPEDA).
  • Responsible for the daily management of power of attorney requests by obtaining and reviewing all required documents before submitting them to our HR department for approval.
  • Act as a contact person between the agent designated by the power of attorney and the HR branch for obtaining documents and additional clarifications as needed.
  • Responsible for the daily management of the non-resident process by communicating with non-resident retirees, validating tax forms, CRA approval letters and tax rates, and ensuring that everything complies with applicable rates under CRA tax conventions.
  • Act as the primary point of contact between third parties and Air Canada Human Resources, and ensure accurate and prompt processing of requests.
  • Assist with administrative tasks, including processing employee ID cards and managing incoming and outgoing mail.
  • Process pension-related transactions in accordance with standard operating procedures of the benefits administration system.
  • Participate in the analysis and implementation of new processes, while improving existing procedures.
  • Escalate issues related to daily processing, as needed.

Qualifications

  • Minimum college diploma with relevant experience
  • Knowledge and experience of PeopleSoft, an asset
  • Excellent written communication skills in French and English
  • Ability to exercise flawless judgment, maintain confidentiality and demonstrate a high level of tact and discretion at all times during sensitive situations or involving employees
  • Ability to work under pressure with speed and accuracy, to set priorities while maintaining a high level of customer service
  • Demonstrated sense of customer service and excellent sense of diplomacy
  • Ability to work in a team-oriented environment
  • Excellent interpersonal and communication skills
  • Ability to quickly learn new systems
  • Mastery of Microsoft Office (Word, Outlook, PowerPoint and Excel) and ability to manipulate data and produce correspondence, reports and other documents
  • Ability to translate reports and queries into accessible terms
  • Understanding of payroll, an asset

Employment Conditions:

Candidates must be eligible to work in the country concerned at the time a job offer is presented and are responsible for obtaining work permits, visas or other necessary authorizations. Proof of eligibility must be provided before the start date.

Language Requirements

Bilingualism (English and French).
