OBJECTIVE OF THE ROLE
In this role, you will play an essential part within our 24/7 operations team, ensuring the safe, efficient and smooth operation of flights during night hours. Working closely with flight crews and global service providers, you will monitor active flights, manage last-minute changes and provide real-time operational support. Your role is critical to maintaining situational awareness, ensuring regulatory compliance and delivering exceptional service to our clients and crews.
SUMMARY OF RESPONSIBILITIES
- Monitor active flights overnight, providing real-time tracking, situational awareness and proactive communication with the crew and stakeholders.
- Provide night-time operational support to crews, including flight tracking, managing change requests, planning support for night flight requests and assistance with diversions.
- Coordinate with airports, customs and ground handlers to confirm services and resolve any issues or delays occurring overnight.
- Ensure compliance with regulations regarding crew duty/rest periods and operational standards defined in the PPM and the Canadian Aviation Regulations (CARs).
- Manage night-time customs notifications, overflight and landing permits, and communicate with international authorities as required.
- Respond to last-minute operational changes, including aircraft swaps, schedule adjustments and service disruptions.
- Conduct risk assessments for nighttime or high-risk destinations in collaboration with management and crew.
- Support preparation of night-time quotes and route planning for urgent charter requests or schedule changes.
- Perform post-flight reviews and assist with updating flight logs and trip profiles as needed.
- Provide administrative support, including weekly fuel rate updates, crew expense verification, financial reconciliation and other assigned tasks.
Schedule:
- 5 days on, 2 days off
- Working hours: 22:00 to 06:00 (Eastern Time)
- Typical week: Sunday to Thursday or Tuesday to Saturday
QUALIFICATIONS AND REQUIRED SKILLS
- Minimum of one year of aviation experience (an asset)
- Proficiency in MS Word, Excel and Outlook
- College diploma or bachelor's degree in aviation management, business administration or equivalent experience
- Strong understanding of flight operations, international management and regulatory compliance
- Previous experience in business aviation or 24/7 operations (strongly preferred)
- Knowledge of CARs, FAA and EASA regulations (an asset)
- Proficiency with Microsoft Office (Word, Excel, Outlook); experience with flight-tracking software is a plus
- Excellent problem-solving and communication skills, particularly under pressure and during night hours
- Ability to work independently, make informed decisions and manage multiple priorities in a fast-paced, time-sensitive environment
- Flexibility to work nights, weekends and public holidays on a rotating schedule
