Job Description
In collaboration with the Head of Occupational Health and Safety, the incumbent provides administrative and operational support to the Occupational Health and Safety (OHS) team. They act as a point of contact for local OHS committees, contribute to maintaining the health and safety management system, support medical absence management activities, and participate in the production and analysis of data related to workplace incidents and accidents.
- Participate in health and safety committees, when required;
- Coordinate the distribution of medical absence files with the absence management team and ensure the management of absences of less than 7 days;
- Conduct interviews for workplace accident investigations (first contact);
- Follow up on monthly inspections;
- Keep the list of first aiders up to date and coordinate training (Transat (Agencies) and Air Transat);
- Participate in various improvement projects to prevent workplace accidents, occupational diseases, and medical absences;
- Monitor the progress of accident investigations and corrective actions with managers, as well as coordinate the implementation of corrective and preventive actions;
- Act as an expert in the incident and accident declaration management system and train new members of health and safety committees on its use;
- Participate in updating and developing certain procedures, maintain and improve the health and safety Intranet site;
- Produce statistical data on workplace incidents and accidents and perform all other related tasks.
Qualifications
- Certificate in occupational health and safety or college diploma in administration combined with relevant experience in occupational health and safety, or any equivalent combination of training and experience.
- Minimum of one (1) year of experience in a role related to occupational health and safety. No experience is required for individuals holding a certificate in occupational health and safety.
- Experience in administrative coordination, document management, or case tracking in a corporate environment.
- Strong organizational skills, priority management, analysis, and tracking of multiple files simultaneously.
- Rigor, discretion, respect for confidentiality, autonomy, initiative, and excellent collaboration skills.
- Knowledge of the organization, its activities, and its unions, an asset.
- Excellent command of MS Office tools (Word, Excel, Outlook, Teams) and demonstrated ease with collaborative digital tools and AI (e.g., Copilot). Ability to learn quickly and adapt to new technologies.
- Oral and written fluency in French and English*.
*A good command of French is required for positions in Quebec. The incumbent will frequently need to communicate in English, both orally and in writing, with colleagues, clients, or other stakeholders, both in Quebec and internationally.
